Step 1: Plan When You Want to Travel

If you don’t have a particular location in mind, the best first step is to figure out when you want to travel. Different locations have peak times that you may want to keep in mind, or even consider traveling during their shoulder season to save some money. But some locations have times of the year that you should avoid, for example maybe a rainy season or hurricane season, or even a completely different season than you are in at home. Remember when it is summer in the northern hemisphere, it is winter in the southern hemisphere!

If you do have a location in mind, research the peak and shoulder months to travel and decide what works best for you! Also, you can skip over the next step.

Step 2: Decide on Your Destination

The next step, or first if you are flexible on when you want to travel, is to decide on your destination.

Consider what kind of experience you are looking for, whether it’s a relaxing beach vacation, an adventurous trek through the mountains, or a cultural exploration of a new city. Once you have an idea of what you want to do, research different destinations that offer those experiences. Look at travel blogs, guidebooks, and even Instagram, Tik Tok, and Pinterest to get inspiration.

Tip: As I hear about places I want to see, activities I want to do, and places I want to eat, I pin it on google maps. If you’re stumped on where you want to go? You can now refer to your new bucket list, and see what makes you most excited in the moment!

Step 3: Set a Budget

Once you have chosen your destination, it’s important to set a budget for your trip. Determine how much you can afford to spend on transportation, accommodations, activities, and meals. Keep in mind that some destinations may be more expensive than others and that the time of year you travel can also impact costs. You may have to go back to step 1 and decide if you can afford peak season or if traveling during their shoulder season would be better for your budget. Research the average costs for your destination and create a budget that will allow you to enjoy your trip without breaking the bank.

Step 4: Plan Your Activities

One of the most exciting parts of planning a trip is deciding on the activities you will do while you’re there. I recommend doing this before booking transportation and accommodations, especially if you are traveling to multiple destinations. You may find that you need to add a day in this city, or even extend the trip, after seeing everything you want to do. This is much easier to do before booking anything so that you don’t have to worry about a reservation charging fees for changes, or even worse, not being able to be changed or canceled.

Research the top tourist attractions in your destination and make a list of the ones you want to visit. Consider booking tours or activities in advance to avoid long lines and ensure availability. You can use sites like Get Your Guide and Viator to find and book excursions! You should also leave some room in your itinerary for spontaneous activities or relaxing downtime. Don’t try to pack too much into your trip, as you may end up feeling overwhelmed and exhausted. You are on vacation and that calls for at least some relaxation!

Step 5: Book Your Transportation

Once you have your destination, activities, and budget in mind, it’s time to book your transportation. Whether you’re flying, driving, or taking the train, it’s important to book your transportation as early as possible to ensure that you get the best deals. Look for discounts on flights and consider booking your tickets during off-peak travel times to save money, or even check out other modes of travel that you didn’t initially think of. Rome2Rio is a great website to find all the different options in one place. Check out here for the different resources I use to book my transportation about the world.

Speaking of around the world, if you’re traveling internationally, be sure to research visa requirements and any travel restrictions that may be in place. Every country's passport has different visa requirements, so make sure to tailor your search to where your passport is from. When purchasing a visa, some countries may let you purchase online and some will have you stop at some point during the arrivals process at the airport. Make sure to leave some processing time if applying online, and some extra time in your schedule if you need to purchase at the airport before going through customs.

Step 6: Choose Your Accommodations

Choosing the right accommodations can make or break your trip. Consider your budget and the type of experience you want to have when selecting a place to stay. Do you want to stay in a luxurious hotel, a cozy bed and breakfast, or a budget-friendly hostel? I recommend working on accommodations after booking your transportation. Having your transportation all set will give you a clearer timeline on when and where you need someone to stay overnight. Having the times you need to travel set will also give you an idea of if you want to have accommodations maybe near an airport, bus, or train station for easier transfers.

When booking accommodations, be sure to read reviews from previous guests to get an idea of the quality of the property. This is important for any style that you may stay in from hostels to hotels to Airbnb (which I wouldn’t necessarily recommend). You should also consider the location of your accommodations and whether it is convenient for the activities you have planned and your different modes of travel like I mentioned above.

Why wouldn’t I recommend Airbnb? I think it was a great idea when it first was formed. It was a way to connect with locals in different areas and also save a lot of money compared to hotels. Now, not so much. Local stays are a lot harder to come by, many stays are investment properties, and it isn’t cheaper anymore than just staying at a hotel. Personally, I like the added amenities and security of hostels and hotels but that doesn't mean I would write off Airbnb completely. I think there are still a few gems and interesting stays out there that are worth taking a look at, and if you are traveling with a big family and just need more space than a hotel can provide, then I think Airbnb can be the way to go. I would also recommend taking a look at the website Vrbo.

Step 7: Create an Itinerary

Now that you have your transportation, accommodations, and activities booked, it’s time to create a detailed itinerary for your trip. Write down the dates and times of your flights, hotel check-ins, and planned activities. Include any important contact information, such as the phone number and address of your accommodations and tour operators.

Creating an itinerary will help you stay organized and ensure that you don’t miss any important events. It will also help you make the most of your time and ensure that you have a balanced and enjoyable trip. My free travel summary is a great way to organize all of your details and share them with your loved ones. I will have a template for how I create my trip itineraries soon!

Step 8: Pack Smart

Packing for a trip can be a stressful and overwhelming experience, but it doesn’t have to be. Start by making a packing list well in advance of your trip. Consider the climate and activities you have planned when deciding what to bring. Remember to pack versatile pieces that can be worn multiple times and mixed and matched.

When packing, be sure to check the luggage restrictions of your airline to avoid any additional fees or hassles at the airport. Don’t forget to pack any essential items such as medication, travel documents, and chargers.

Organization will be your best friend to pack smart and to only pack what you need. Check out my free packing lists for help with this!

Step 9: Take Care of Finances

Before leaving for your trip, it’s important to take care of your finances. Notify your bank and credit card company of your travel plans to avoid any issues with card usage. Check which of your cards don’t have foreign transaction fees and make sure to use those cards if traveling abroad. You should also consider exchanging currency in advance to avoid higher exchange rates at the airport.

It’s also a good idea to bring a mix of cash and cards for different expenses. Keep your money and important documents in a secure location such as a money belt or a hotel safe. Have backup cards and some cash kept safe in your suitcase back at your accommodation just in case you lose your wallet while out and about.

Step 10: Stay Flexible

It’s so important to stay flexible! Especially while going through the planning process. As you can tell above, I have a good starting point for what to focus on first, second, and so on while planning your trip, but at the same time, I jumped around all over the place.

Even with the most careful planning, unexpected events can occur during your trip. It’s important to stay flexible and open-minded when things don’t go according to plan. Embrace the unexpected and try new things. Sometimes the best experiences come from unplanned moments.

Enjoy Your Trip!

Finally, remember to enjoy your trip! Take in the sights, sounds, and flavors of your destination. Meet new people and immerse yourself in the local culture. Traveling is an opportunity to broaden your horizons and create memories that will last a lifetime.

Extra Tips

If all of this sounds overwhelming to you, remember you don’t have to navigate your days alone! Websites like Viator and Get Your Guide offer day trips where all you have to do is be at the meeting place at the right time. Also, make sure to check out my resources page to see what I use when I plan my trips!

If you don’t even want to think about flights or anything that has to do with planning, group travel will be your best friend! My personal favorite is EF Ultimate Break. If you use code UAKarenR100 at checkout you can save $100!

And my one last important extra tip, if you are traveling internationally make sure you have a picture of your passport on your phone or a photocopy. If you happen to lose your passport, this will help a ton when at the embassy!

Planning the perfect trip requires careful consideration and organization, but the rewards are well worth the effort. By following these steps, you can create a travel itinerary that meets all of your expectations and provides a truly unforgettable experience. Remember to stay flexible, enjoy the moment, and embrace the unexpected.

Happy travels!

My two favorite things are traveling and photography. Of course, I found a way to combine them!

I am a photographer, filmmaker, traveler, writer, graphic and web designer, and so much more. As you can probably guess, I keep myself pretty busy. I can’t help but think of new ideas and dive headfirst into them.

I have been a photographer for 15+ years and specialize in documentary-style photography. Throughout those years my interests expanded to filmmaking, graphic design, and web design. Naturally, when I started traveling, my camera came along with me. I fell in love with seeing parts of the world I haven’t seen before and experiencing things different from my normal. So far, I have traveled to 15 countries and 20 US states, and I am always looking for new places to explore. Photography has always made that exploration even more fun and helped me end up in places that I would have least expected. There is something about a camera being in your hand that pushes you to explore that hidden spot, walk that extra mile, and improve your patience when waiting for something amazing.
